Is the address in Kitchener or Waterloo?

Who arranges access to unit and shared areas?

Do the compared proposals use the same rooms, quantities and exclusions?

Kitchener and Waterloo have separate municipal routes

Start with the civic address and the municipality shown on the property record. Kitchener’s fire department and Waterloo’s building department are distinct contacts; a regional description does not establish the authority for a repair. Ask the office for the actual municipality to direct the specific incident or building question.

Keep unit access separate from building access

In a rental, condominium or shared house, establish who can authorize a visit to the affected unit and who can arrange access to common or neighbouring areas. Give the assessor one coordinated contact list. Record any spaces that could not be assessed and the decision needed to revisit them, rather than treating an incomplete inspection as a complete boundary.

Compare restoration and reconstruction proposals consistently

Use the same room list in each proposal. Separate cleaning, drying, contents handling, removal and reinstatement so two contractors are not pricing different jobs under the same label. Ask how assumptions will be resolved and how new work is approved. When the repair design is ready, have the project lead confirm the applicable municipal and trade approval steps.

What to include in a useful assessment request

IncludeKeep it specific
Location and buildingFull address, unit, municipality and property type.
Known conditionAffected rooms, visible issues and what has not been assessed.
Current restrictionsWho controls access and which services or areas are unavailable.
Decision neededThe particular assessment, scope question or repair discussion you want.

Share observations, not guesses about hidden damage. Keep medical records, identification numbers, banking details and unrelated personal information out of an initial enquiry. Use the project worksheet if you need help preparing the brief.

Questions to resolve before authorizing the next stage

0 of 3 checked

If the answer is unknown, name the person who will resolve it and record a follow-up date. A checked list organizes the conversation; it is not permission to enter, a technical assessment or a municipal approval.
